1. Incorrect login name and password

 

Your login name is defaulted to your email address in our old registration system by Spring, 2003.  Try your phone number as password, with just the 10 digit numbers. Try your old phone number if you’ve moved. You can also check your information in the student directory book. If it failed, you can try the "forget password" feature to ask the system to email you your password.  If the login name (or email) is not found in the system, you will get an error message right away.  If it still fails, please send a kind email message to  hcsfx_support@hopechineseschool.org

If you are registered in HCS-FX this semester, please do NOT try to create a NEW family profile. The existing families have registration priority to keep their current classes. If you create and use a new profile, you will lose this privilege.

 

2. No Priority Registration records/Unable to see the classes

 

Most of the data errors were caused by wrong data in this semester's registration data.  You can check your profile, student profile, and registration history by clicking the My Profile, My Registration tabs, and the links on each screen.  If you believe that your records are wrong or missing, don't panic. Just send your request to hcsfx_support@hopechineseschool.org. We'll review your records of this semester and fix the error.  If due to error, your new registration is put on waiting list, we will do our best to adjust your registration status to “Pending”.

 

3. New Family, approval and registration

 

New families will start registration by creating a family profile. HCS-FX will review the data, conduct an informal interview via phone calls, and approve your account. But these new families have to wait till 6/8/03 to start their registration. (You can try, but the system will NOT let you register any classes.)

 

4. Register a new student for existing families

 

A new child is treated the same as new families. You can add him/her to your family profile, but have to wait till 6/8/03 to start their registration.  Remember that the priority registration is only applicable to existing students.

 

5. Update your profiles and enter Chinese names

 

You are responsible for updating your family profiles, including the Chinese names and email address change.  We strongly suggest that you add the Chinese names since there are many duplicated student names in our school and online system.  We suggest that you always update your emails since the school’s email list will be based on your emails in the online system, starting from Fall 2003.  You can have up to two email addresses.

 

6. How to confirm pre-registered classes

 

Review your registration first and make sure the pre-registered classes look good to you. You will then need to print out your registration form and send the form to HCS along with a check with full amount due.  The school will enter your payment and change your class registration status to secure your registration. 

 

HCS-FX will remove your pre-registered classes if we don’t receive your payment by the end of the priority registration period, ending by 6/8/03. Also, HCS-FX will remove your registered classes if we don’t receive payment within 2 weeks since you registered new classes. This is to free up the spaces for other families, since you may change your mind.  So it is very important for you to carefully review your registration and make payment to HCS promptly.  HCS will enforce the policy to protect the interest of all families.

 

7. How to drop classes

 

If you don't want to keep a registered class, you can delete it by clicking the "Delete" link on your registration screen towards the bottom. Please note that once you delete a registered class, you may lose the spot if there is a waiting list for that class.

 

8. How to change an existing class

 

You can delete a registered class from the registration screen, and then add a new class. You will be put to the waiting list of the new class, if there is no seat available. If you have made a payment for the class and the class status has been changed from "pending" to "approved", you need to ask the school registration team to help you since refund might be involved. 

 

For any overpayment due to class changes, the HCS will credit or refund. For any underpayment, you will need to make another payment to reduce your balance to zero.

 

9. How to delete a student

 

You can delete a student from the Student Profile screen. Select a student first, then click the Delete button. Note that you will not be able to delete a student if one of the following is true:

1) The student has registered to at least one class during the current registration period;

2) The student has a registration history.

 

10. Incorrect data for previous semesters

 

We converted the previous registration data for your review.  But your payment data may not be correct for Fall 2002 and Spring 2003 due to data conversion. Please ignore the incorrect data for these semesters.  The online system will be used for Fall 2003 semester and going forward.

 

11. Use online registration system on Sundays

 

The Online registration system will be closed on Sundays. We will use this time to do registration, and approval works at school. You can still do your registration at school on Sundays if our school is open and we’ve set up our computer network at school.
